Mail management for organizations with large volumes of documents

WHY ENTRUST YOUR INCOMING MAIL TO THE EXPERTS

Incoming mail is often the first bottleneck in a business process. Managing it involves much more than simply digitizing documents. It is an organized and controlled process of receiving, registering, sorting, digitizing and routing documents to the right people. In organizations handling large volumes of documentation, inefficient processes can lead to delays, additional costs and poor traceability. By outsourcing your incoming mail management, you can accelerate document flows, improve security and establish consistent processes across your organization.

By managing and digitizing incoming mail, we capture documents as soon as they arrive, automatically identify key data and route them into the appropriate business processes. Employees can start working with them immediately, regardless of whether a document arrived by post, email or another channel.

Yes. We tailor the service to the way your organization works. We can digitize all incoming mail or only selected document types, such as invoices, contracts, HR documents or other business documentation.

How quickly are documents available in digital form after they are received?

This depends on the agreed service model and your requirements. Documents can be digitized and delivered within a very short time after receipt, allowing the relevant business processes to start sooner.

Do we have to use InDoc EDGE?

No. We can deliver digitized documents by email, through another agreed channel, or integrate them into InDoc EDGE or another document management or business system you already use.

What happens to the original paper documents?

We can return the original documents to you, store them as agreed, or manage their further processing in accordance with your internal policies and applicable legislation.

How do you ensure document security and confidentiality?

We use secure and controlled procedures when processing incoming mail to ensure traceability, document protection and handling in accordance with the agreed security requirements and applicable legislation.
