The recent power outage at a data center of one of the world's largest IaaS providers caused significant damage to the users who lost their (valuable) data in the incident. At the same time, the incident exposed the vulnerability of data on inappropriate cloud storage. If, prior to the event, we thought that entrusting our data to a major cloud service provider automatically guaranteed secure and compliant storage, we now know this is not necessarily true. As the above case shows, the reality is much more fragile.

The 99.99% guaranteed uptime of large IaaS providers means that the server is online and operational (practically) all the time. Still, the uptime rate does not automatically mean that our data is properly stored. Maintaining backups of data is our responsibility, but we can outsource it to the cloud provider by paying separately for this extra service.

Stored documents will be of little use if we are unable to reopen them due to obsolete formatting. We also need to distinguish between the accessibility and usability of documents and their legal validity. Apart from providing access and maintaining the usefulness of data, compliant long-term data preservation must also ensure integrity, authenticity and permanence of stored documents throughout storage. And, of course, fully comply with the retention periods specified for each type of document.
