Appropriate storage may be costly, but inappropriate one comes at a much greater cost
A reputable company cannot afford to lose key information or documents, which makes the risk of using an inappropriate storage solution even more pressing.
The recent power outage at a data center of one of the world's largest IaaS providers caused significant damage to the users who lost their (valuable) data in the incident. At the same time, the incident exposed the vulnerability of data on inappropriate cloud storage. If, prior to the event, we thought that entrusting our data to a major cloud service provider automatically guaranteed secure and compliant storage, we now know this is not necessarily true. As the above case shows, the reality is much more fragile.
The 99.99% guaranteed uptime of large IaaS providers means that the server is online and operational (practically) all the time. Still, the uptime rate does not automatically mean that our data is properly stored. Maintaining backups of data is our responsibility, but we can outsource it to the cloud provider by paying separately for this extra service.
The 99.99% uptime means:
- daily downtime: 8 seconds
- weekly downtime: 1 minute
- monthly downtime: 4 minutes 22 seconds
- annual downtime: 52 minutes 35 seconds
Comprehensive solutions that let you sleep at night
When it comes to storing data, nothing can be left to chance. Therefore, it is not wise to put our trust in the first option that comes our way and is, or looks, very attractive in terms of cost. Losing access to an important business document may jeopardize our relationship with a client, threaten our compliance, or even cost us a major lawsuit – all of which can be pretty expensive.
To help you avoid this, Mikrocop ensures availability of the InDoc EDGE data management platform at several different locations, thereby minimizing the risk of data loss and helping you sleep tight at night.
At Mikrocop we regularly check and ensure the availability of our solutions. Once a year we invite our customers to verify the functioning of the solution and the existence of their documents at alternative locations. According to the measurements conducted this and the previous year, the InDoc EDGE service was online and operational more than 99.9% of time and no documents were lost.
InDoc EDGE is a certified and safe electronic storage solution
Stored documents will be of little use if we are unable to reopen them due to obsolete formatting. We also need to distinguish between the accessibility and usability of documents and their legal validity. Apart from providing access and maintaining the usefulness of data, compliant long-term data preservation must also ensure integrity, authenticity and permanence of stored documents throughout storage. And, of course, fully comply with the retention periods specified for each type of document.
As a first step, the certified InDoc EDGE e-storage service converts all documents into a file format suitable for long-term preservation, and automatically adds a digital signature and a time stamp. Such archived documents will have proof of traceability which enables experts to carry out technical control and verify whether a submitted electronic document is admissible as evidence.
